Application privacy notice
Version 2026-10-01-draft-1. Prepared 1 October 2026. Draft for agency review before production release; legal review has not been completed.
What you provide
Bubblegum collects the applicant’s name, birth date, gender, city, ethnicity, accent and headshot, plus the adult contact’s name, email and phone. For children, we also record the guardian’s declaration of authority. Enquiries collect your name, email and message. Please leave health, financial and identity documents out of these forms.
Why and who sees it
Our team uses this information to review applications, respond to enquiries and discuss next steps. Pending photos and application details are private to the applicant’s secure session and authorised agency staff. Applying does not publish a profile or permit a casting client to see your application. Campaign sharing and publication require a separate review.
Children and family access
A parent or guardian should apply for a person under 18. Staff check authority before providing access to an existing child’s profile. A shared email or surname does not link family members automatically. Each child receives a separate application and review. Tell us if authority is disputed or changes.
Storage and messages
This application uses Firebase authentication, database and private file storage. An acknowledgement is recorded with your application and is sent only after staff review through a connected agency mailbox. The form shows a reference immediately after the database confirms receipt. A draft stays in this browser tab until successful submission; avoid a shared device and close the tab when finished.
The agency must confirm production hosting regions, provider contracts and retention periods before this draft notice is approved. Photos from this intake are not passed to an AI model by this workflow.
Questions, corrections or withdrawal
Contact Deborah Howard at deb@bubblegum.co.nz to ask about your information, request a correction or withdraw an application. Quote your reference. Staff need to verify your identity and any guardian authority before disclosing or changing a person’s records.
